Case Study: NHS Health-Tech Deployment & Lifecycle Management
Executive Summary
iRecords / iAssets is an RFID enabled solution that allows hospital trusts to track medical records and medical devices around the hospital campus, reducing the cost of tracking these vital assets. The solution has been proven to reduce costs from multiple sources including; missed appointments due to missing files; uneccessary re-ordering of medical devices for misplaced equipment; legal costs for missing patient information as well as other causes of wasted effort.
I led the end-to-end discovery, development, and nationwide rollout of iRecords/iAssets, a dual hardware/software RFID tracking solution now managing tens of millions of medical records across 20+ NHS hospitals.
The Challenge
UK hospital campuses face massive operational inefficiencies and clinical risks when physical medical records and high-value assets go missing. The project required a solution that could survive the rigors of a clinical environment, integrate seamlessly with existing NHS workflows, and scale across diverse hospital infrastructures.
The Strategy (Project Management & Discovery)
User-Centric Discovery: Conducted a comprehensive discovery phase, interviewing stakeholders from medical libraries, asset maintenance, and clinical administrative teams to map the physical "journey" of a record.
Hybrid Hardware/Software Prototyping: Led the evaluation of diverse RFID and barcode technologies. This involved rigorous testing of all-in-one hardware, smartphone-integrated scanners, and various RFID tag form factors to balance cost-efficiency with signal reliability.
Agile Delivery Framework: Managed a cross-functional team of 15 developers, analysts, and QA specialists, utilizing Agile methodologies to move from requirements gathering through to beta testing and onsite implementation.
The Solution (The Rollout & Implementation)
Dual-Platform Development: Directed the simultaneous build of a centralized web-based management portal and a mobile application for real-time campus tracking.
Site-Zero Implementation: Led the "Beta" installation personally, capturing critical onsite data and "boots-on-the-ground" knowledge that was codified into a repeatable implementation playbook.
Scalable Delivery Model: Post-success, I headed the Delivery Team, establishing standardized procedures and governance processes to manage rapid subsequent rollouts and cross-selling initiatives.
The Results
Massive Scale: The system now tracks tens of millions of assets across approximately 20 major UK hospitals.
Measurable ROI: Guaranteed significant cost savings for trusts and improved Key Performance Indicators (KPIs) regarding asset availability and clinical audit trails.
Strategic Roadmap: Transitioned to managing the long-term product roadmap, using RICE scoring and user groups to ensure the product evolved in line with frontline clinical needs.
